Job Title: Shared Services Coordinator
Job Description

The HR Shared Services (SS) Coordinator provides frontline support for HR-related inquiries and performs various tasks related to HR activities and programs. Coordinators maintain cross-functional knowledge of HR processes to assist contacts with all self-service activities. The Advisor will report on trends related to those inquiries and partner with COE and Process Owners to ensure quick and effective resolution.

Responsibilities

  • Apply general knowledge to provide Tier 1 inquiry support for a variety of HR inquiries and requests ranging from low to medium complexity - actively triaging, resolving, and/or escalating each item as defined by service level agreements.
  • Adhere to established standard operating procedures to run cyclical reports, perform data audits, and general administrative tasks on a routine basis. Identify errors and issues that occur during the process and escalate quickly to ensure timely completion.
  • Rely on established Standard Operating Procedures and Knowledge Articles to interpret and resolve issues; may edit an existing article or content, and related chatbot responses.
  • Participate in programmatic changes by participating in solution testing or User Acceptance Testing.
  • Observe current topic trends and actively contribute insights to address reported issues. Encourage end-users to utilize Chatbot functionality as a self-service tool. Escalate reported Chatbot issues to administrators for resolution.
  • Perform other duties such as special projects and initiatives related to the role. May choose to participate in non-related initiatives as part of growth and learning objectives.
  • Work under general supervision and partner heavily within Shared Services to seek assistance in advanced matters. May support aspects of training and assist during onboarding, such as job shadowing and task transitioning. Ensure the highest level of confidentiality, privacy, and risk mitigation through cognizant communications (written and verbal), validating the legitimacy of data requests, securing data sources (paper, electronic, etc.), and reporting any possible breaches immediately.
Essential Skills
  • Experience working on Tier 1 tickets in Cherwell, handling transactional type tickets.
  • Ability to work on a backlog of digital files that need to be uploaded to employee records.
  • Capability to assist with various projects such as cleaning up the file room, reviewing physical files for record retention, cleaning up interval SOPs, and performing administrative tasks like pulling reports and audits.

This is a contract position with a duration of 13 Week(s).

Work Site

This is a hybrid position requiring some days on-site in Portland, Oregon and some days remote.

Work Environment

In-office on Tuesday, Wednesday, and Thursday. Very collaborative team environment.
