We are currently seeking a highly motivated, organized, and detail-oriented Administrative Assistant to join our team. The successful candidate will be responsible for providing comprehensive administrative support, ensuring the smooth operation of our office. This role involves a high level of interaction with clients, vendors, and our internal teams. The ideal candidate will have a minimum of 2 years of experience in a similar role within the construction industry.

Job Details

Responsibilities:
  • Act as the first point of contact, answering phones and emails in a professional and timely manner.
  • Develop and maintain strong client relationships, providing excellent customer service to ensure client satisfaction.
  • Manage relationships with vendors, coordinating services as needed.
  • Assist in the administrative workflow to ensure efficiency and productivity within the office.
  • Coordinate scheduling and calendar management, organizing meetings, and preparing agendas.
  • Edit and proofread documents, ensuring accuracy and consistency.
  • Assist in the preparation of bids, compiling necessary documents and information.
  • Manage construction licensing, ensuring all licenses are current and compliant.
  • Perform other administrative tasks as required, such as filing, data entry, and document management.

Qualifications:
  • Minimum of 2 years of experience in an administrative role within the construction industry.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Excellent written and verbal communication skills.
  • Strong customer service skills with the ability to build and maintain relationships.
  • Detail-oriented with strong organizational skills.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Experience with scheduling, calendar management, and preparing meeting agendas.
  • Knowledge of construction licensing and bid preparation.
  • Proven ability to work both independently and as part of a team.
  • High school diploma or equivalent required, bachelor's degree preferred.
