Job description
Duties You will maintain the CO/XO/ED's appointment calendars and schedule of commitments using discretion and knowledge of his/her schedule, available time, personal interest and responsibilities. You will arrange conferences for the CO/XO/ED, contacting personnel involved and notifying them of the time, place, subject, and the availability of background information. You will receive and screen incoming telephone calls and visitors for the CO/XO/ED, evaluate the issues and decide appropriate action. You will compose memoranda, routine notices, correspondence, reports, etc. You will review all outgoing correspondence prepared by the NAVSUP BSC departments in the command level and staff for signature of the CO/XO/ED, format, grammar, spelling, procedure, and conformance with general policy. You will review incoming correspondence, dispatches, and memos; determine which require the CO/XO/ED's or Command staff's attention, which can be personally handled, and which can be assigned directly to another site location, or office. You will ensure the administrative and secretarial tasking in support of the CO/XO/ED is in accordance with the requirements of NAVSUO and NAVSUP BSC. You will serve in a liaison capacity between the CO/XO/ED and his/her subordinates. You will maintain and control a tracking system for Command level actions, ensuring that all actions regardless of site office responsibility are completed in their entirety and that replies are received before assigned due dates. You will create and manage travel orders and plans. Requirements Conditions of Employment Must be a US Citizen. Must be determined suitable for federal employment. Qualifications To qualify for the GS-08 position: Your resume must demonstrate at least one year of Secretary (Office Automation) experience equivalent to the next lower grade level (GS-07) or pay band in the federal service or equivalent experience in the private or public sector serving as the principal clerical and administrative support to an organizational unit carrying out and coordinating all the clerical and administrative support activities to accomplish the work of the organization. Examples of specialized experience must include the following: 1) Managing senior official calendars, scheduling appointment requests, screen appointments for importance; 2) Providing advice and guidance on procedures, reports, requirements and other administrative matters necessary to implement a senior official's policies and directives; 3) Maintaining deadlines and due dates for various projects and responsibilities for various offices, as well as ensure the parties responsible meet time frames; 4) Preparing correspondences and reports, check for all necessary information, accuracy, and signatures on outgoing correspondence and reports; and notify supervisors of important information. To qualify for the GS-07 position: Your resume must demonstrate at least one year of Secretary (Office Automation) experience equivalent to the next lower grade level (GS-06) or pay band in the federal service or equivalent experience in the private or public sector serving as the principal clerical and administrative support to an organizational unit carrying out and coordinating all the clerical and administrative support activities to accomplish the work of the organization. Examples of specialized experience must include the following: 1) Reviewing outgoing correspondence and ensuring that grammar and correspondence format are met in accordance with the established policy; 2) Maintaining a record of incoming and outgoing correspondence and action documents to follow up on work in progress to ensure deadline dates are met; 3) Receiving and screening telephone calls and visitors to determine the nature of the call to respond to requests for information and make appropriate referral; 4) Maintaining appointment calendars and schedule of commitments without prior approval, using discretion and knowledge of his/her schedule, available time, personal interest and responsibilities; 5) Use various office automation software to create, copy, edit, store, retrieve and print forms, memos and letters.
