Job description

Accuray Care is seeking an Administrative Assistant that works with Project Managers and personnel in other departments to work with a wide variety of administrative duties as required by daily operations. The successful candidate will have the previous service in a standard office setting, strong computer and customer service skills.

Required Education & Experience:

1. Three (2) or more years' experience in office administrative support /administrative remote work.

2. Strong knowledge of MS Office, including Word, Excel, PowerPoint

3. Proficiency in English- written and spoken.

Essential Duties and Responsibilities:

This position is responsible for the following: Other duties may be assigned

1.Coordinate department meetings and schedules; ensure smooth office operations.

2.Create, maintain, review and/or summarize miscellaneous reports and documents.

3.Assist with preparation of papers and presentations for the assigned Manager.

4.Make travel arrangements; maintain appointment schedules and calendars; arrange meetings and conferences for the assigned Manager.

5.Attend meetings and take minutes as directed by the assigned Manager.

6.Coordinate purchasing of office supplies, etc. with all department heads (distribute office supplies as needed).

7.Ability to schedule vessels, talk to vessel agents

8.Update terminal website information

9.Access Gulf Copper salesforce database

10.Marketing assistance; Email marketing as directed, track vessel movements via database, extract vessel names and owners

11.Process purchase requests

Working Conditions:

1.Must possess mobility to work in a standard office setting, use standard office equipment, and be able to attend meetings at various sites within and away from the office.

2.Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours each day.

3.Hearing and speech to communicate in person and over the telephone

4.Regular exposure to all weather conditions, especially hot, humid and/or rainy weather, combined with regular work time indoors in environmentally controlled conditions.

Necessary Equipment Operation:

Copiers, scanners, computers, shredders, postage machine

1. Excellent interpersonal and communication skills.

2. High performance and a strong team player.

3. Strong Organizational Skills (coordinating projects, setting priorities, meeting deadlines and following up on assignments).
