Job Summary:
The Senior Accounting Manager - Parish and School, reporting to the Chief Operating Officer (COO), will oversee and execute the financial functions of the parish and school, ensuring timely and accurate processing across all accounting operations. This hands-on role will focus on payroll, contributions, accounts management, and financial reporting while ensuring accountability and adherence to financial protocols. The Senior Accounting Manager will work closely with the COO, Pastor, Principal, and other ministry leaders to maintain transparency and accuracy in all financial processes.
Ministerial Character
The Pastor is the visible principle and foundation of unity in the parish (St. Louis King of France Catholic Church and School Austin, Texas) which the Bishop has entrusted to him. He makes Christ's mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them.
Positions employed at St. Louis King of France Catholic Church and School Austin, Texas help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church.
Essential Job Duties:
1. Payroll & Benefits Administration
- Manage payroll processing through Paylocity, ensuring accuracy in all employee payments.
- Oversee the administration of 403(b) retirement contributions, coordinating employee and employer contributions.
2. Accounts Management
- Oversee all aspects of Accounts Receivable (AR) and Accounts Payable (AP) to maintain smooth financial operations.
- Prepare weekly collection reports and manage donation entries, ensuring timely processing and reconciliation.
- Supervise monthly reconciliations for separate parish and school accounts using QuickBooks.
3. Financial Systems & Reporting
- Manage and maintain the school's tuition and financial aid platform (FACTS), ensuring accurate student account management.
- Generate financial reports for ministry leaders, providing insights into their accounts and financial standing.
- Prepare and present financial accountability reports for the Pastor, Principal, COO, Parish Finance Council, and School Finance Committee/School Board.
4. Budgeting & Financial Planning
- Assist in formulating budgets with department heads and provide support for ministry leaders in managing their budgets.
- Participate in the preparation of the annual report for both the parish and school, collaborating with the COO and finance committees.
5. Financial Controls & Compliance
- Interface with the Diocese of Austin Finance Office, ensuring compliance with diocesan policies and financial best practices.
- Implement and monitor internal control measures to safeguard assets and support financial accountability.
6. Team Leadership
- Supervise the Assistant to the Bookkeeper, ensuring accuracy and timeliness in financial processes.
- Train and support staff on accounting procedures, reinforcing best practices and fostering a collaborative team environment.
7. Other Duties as Assigned
- Support the COO and Pastor with additional projects or ad hoc financial analysis as needed.
Knowledge, Skills, and Abilities:
Strong understanding of payroll systems (Paylocity), retirement contributions, and nonprofit accounting
Proficiency with accounting software (QuickBooks) and financial management platforms (FACTS).
Knowledge of the basic teachings and structure of the Roman Catholic Church.
Ability to operate various word-processing software, spreadsheets, and database programs.
Excellent organizational and analytical skills, with a focus on detail and accuracy.
Ability to work collaboratively with ministry leaders and staff, providing clear communication and responsive support.
Bilingual (Spanish and English) preferred; proficiency in English is required.
Minimum Qualifications:
- Education: Bachelor's degree in Accounting or Finance; CPA preferred but not required.
- Experience: Minimum 7 years in accounting, including hands-on experience in payroll, AR/AP, and reconciliations, with at least 3 years in a supervisory role. Prior experience in a Catholic parish with a school is strongly preferred.
- Licenses/Certifications: Valid Texas driver's license; maintain compliance with Diocese of Austin Ethics and Integrity in Ministry (EIM) policies.
