Job description

Role- Hospitality and Office Support Specialist
Location- Austin TX 78701
Duration- 3+ months (temp to hire)
Shift hours- 09:00 am- 06:00 pm


Job Overview:
We are seeking candidates with customer service, hospitality, or reception/administrative assistant experience to join our team. The primary responsibilities include handling printing, copying, scanning, and maintaining kitchens and coffee bars. You will also assist with mail services such as delivering mail, sending out overnight packages, and regular mail. Candidates should be neat in appearance, possess strong customer service and communication skills, and be able to work independently to complete tasks.

Requirements:

  • Education: High school diploma or GED required.
  • Experience: 1-2 years of related work experience (experience with copying, scanning, and mail duties preferred).
  • Skills:
    • Strong customer service and communication skills.
    • Ability to operate copiers, scanners, and other office equipment.
    • Basic understanding of mailroom and shipping/receiving procedures.
    • Ability to perform basic copier maintenance and minor repairs.
    • Knowledge of software and hardware to support document management and workflow.
    • Basic electronics knowledge is preferred but not required.
    • Problem-solving and troubleshooting skills.
Other Requirements: Valid driver's license and auto insurance may be required depending on site needs

Responsibilities

  • Operate high-volume duplicating equipment and perform associated copying tasks.
  • Ship and receive products and supplies; sort, distribute, and handle incoming and outgoing mail/faxes.
  • Perform copier maintenance and repair, ensuring convenience copiers are functional.
  • Handle sensitive and confidential documents, providing high-quality work.
  • Maintain records for management reports and inventories of supplies.
  • Calculate charges for jobs performed and maintain billing logs.
  • Respond to and coordinate all service calls; deliver completed jobs to designated locations.
  • Maintain copier areas; perform light maintenance and cleaning duties as needed.
  • Assist with meeting room setups and building occupant moves.
  • Perform scanning, file conversion, and OCR tasks for documents.
  • Provide professional support to executive-level end users, including legal secretaries and partners.
  • Coordinate off-site projects as needed.


Requirements

  • Experience operating high-volume copy machines and performing bindery work.
  • Strong communication skills for interaction with executive-level customers.
  • Ability to handle confidential documents and work under tight deadlines.
  • Proficient in various office equipment, including calculators, fax machines, and PCs.
  • Knowledge of file management, including scanning, archiving, and OCR.
  • Ability to work flexible hours, including potential overtime.
