Hospitality and Office Support Specialist

Manager's Notes:
Seeking candidates who are responsible for printing, copying, scanning and helping maintain kitchens and coffee bars.
Candidates should be a person with customer service experience and/or hospitality. Looking for candidates with prior receptionist, admin assistant or hospitality experience. DO NOT submit Paralegals to this positions they will be declined. Manager is also looking for candidates with stable job experience, do not submit job hoppers, any gaps in employment or reason for short term assignments needs to be documented. Must have experience with copy/print and mail duties.
They will also be delivering mail, sending out overnight packages and regular mail. Must have experience with copy/print and mail duties. There is no extensive lifting, standing or walking. They are not required to lift over 50 lbs. Any heavy lifting is done with two people.
Must be neat in appearance. Dress code is business casual. Slacks, and a polo shirt are fine. No tennis shoes. Parking is reimbursed and or provided.

Requires high school diploma or GED and1-2 years of related work experience. ABILITY TO PROVIDE AN EXCELLENT CUSTOMER EXPERIENCE, UTILIZING STRONG CUSTOMER SERVICE, PERSONAL AND COMMUNICATION SKILLS. Some related copy job experience is preferred. May require valid driver s license and minimum levels of auto insurance coverage per Ricoh. Working knowledge of copier and other related equipment and repair is preferred. Ability to utilize a mixture of hardware and software to support functions such as cost recovery, document management and advanced workflow. Requires knowledge and understanding of shipping/receiving procedures. Basis electronics knowledge is preferred. Possesses ability to work independently and flexibly to complete projects. Possesses ability to determine correct method and packing material as well as check packing slips for accuracy of incoming materials. Possesses ability to comprehend instructions concerning mail delivery. Possesses troubleshooting and problem solving skills. Possesses ability to read and comprehend written technical information in the form of manuals, parts books and related publications. Possesses excellent customer relations skills and excellent verbal communication skills.
This position provides operations functions in a legal office environment, offering high-quality support across copying, mail distribution, office equipment maintenance, and customer service. This role involves high interaction with executive-level customers and requires strong presentation and telephone skills.
Responsibilities:
Operate high-volume copy machines, bindery, and finishing equipment
Perform copier maintenance, troubleshooting, and minor repairs
Handle and distribute incoming and outgoing mail, faxes, and office supplies
Perform quality control for sensitive and confidential documents
Maintain management reports, billing logs, and inventory of supplies
Provide customer support, including status updates on requests
Prepare meeting and conference rooms, assist with building support tasks
Scan, convert, and format files; perform FTP, OCR, and TOC management
Respond to off-hour emergencies and perform occasional light maintenance
Requirements:
Experience in a legal office environment preferred
Ability to operate various office and binding equipment
Strong customer service, presentation, and telephone skills
Capability to handle confidential documents with precision
Ability to work under tight deadlines and occasional overtime
Familiarity with PC and basic software for file management
