Job description

Overview:
Supervise all aspects of KIM crew changes for the purpose of keeping the assigned vessels fully crewed with
qualified employees. Work closely with the Crewing Manager and Vessel Operations to develop and
implement crewing plans for scheduled and unscheduled crew. Maintain data in the Crew Management
System (CMS), complete Payroll Change Orders as required and maintain data in various systems.

Responsibilities:
Work with the KIM Crewing Manager, Port Captain and Masters if needed, to develop and maintain a standard crew change report.

Project/forecast routine crew changes in accordance with the standard crew change plan. Submit plan to the Crewing Manager for the review of proper licensing and competency.

In the event of an unplanned crew change, will develop an alternative crew change plan and review it with the Crewing Manager for approval. Notify the Port Captain and Master of the alternate plan. If the Port Captain or Master identify issues related to the alternate plan, the Crewing Supervisor and Crewing Manager should work together to develop a revised plan.

Confirm all crew members have the necessary and valid licenses and are otherwise competent to perform their jobs based on the assigned vessel and the planned route.

Review, approve and submit for processing the reimbursement of crew travel expenses.

Review the license expiration report and promptly notify the employee of any upcoming expiration events. Notify the appropriate staff if a pending license expiration will impact the crewing plan, and work to resolve the matter.

Initiate a Payroll Change Order for all personnel changes such as a title change, pay rate change, transfer, etc.

Work with Port Captains on crew issues as required.

Work crew members to solve scheduling issues as required.

Comply with Collective Bargaining Agreements, where applicable.

Check email, telephone and text messages and respond to unplanned events during after-hours and on weekends when requested.

Work with the Crew Dispatch department members and vessel employees to resolve payroll issues.

In the event of an incident, follow ERM protocol.

All other duties assigned.

Qualifications:
Strong written and verbal communication skills

Excellent telephone etiquette and manners

Organized, detail-oriented and accurate.

Ability to work independently, multi-task, and exercise sound judgment and show initiative.

Excellent customer service.

Good analytical skills and ability to solve issues in a timely manner.

Ability to operate standard office equipment.

Knowledge and use of computer software: Microsoft Word, Excel, and Outlook

Education/Experience:

High school diploma or GED. Some college or post-secondary training preferred.

Prefer 2-3 years related experience in the marine transportation industry and/or, experience in a logistics type role.

Regularly scheduled hours are Monday to Friday, 0800 to 1700. An alternate schedule may be approved by the Crewing Manager. On-call during after-hours and on weekends.
