Position overview: As a Bidding Coordinator at PJF Corp., you will be the linchpin in our project bidding process, helping to bring together subcontractors, estimators, and sales teams to ensure successful project outcomes. Your role will be critical in driving communication, organizing bid invitations, and managing the flow of information. Key Responsibilities:
including, but not limited to:
- Efficiently manage the bidding process for multiple projects (2-10), engaging with over 600 subcontractors per project.
- Coordinate and distribute bid invitations while ensuring accurate plan uploads into Procore.
- Proactively follow up with subcontractors to confirm bid participation, relaying critical information to estimating and sales teams.
- Aim to secure a minimum of three qualified bids per project segment.
- Maintain and expand the subcontractor directory, ensuring accurate and up-to-date contact information.
- Facilitate clear, consistent communication and timely follow-up with all stakeholders in the bidding process.
- Foster strong, reliable relationships with subcontractors, becoming the primary point of contact for all bidding-related inquiries.
- Consistently make and answer phone calls to subcontractors to encourage bid submissions and discuss project details.
- Ensure compliance with bidding requirements by coordinating bid bonds and related documentation.
- Assist in evaluating and qualifying bids, providing comprehensive feedback on win/loss outcomes to all involved subcontractors.
- Support marketing efforts, dedicating no more than 5% of your time to tasks such as delivering materials, website updates, and social media contributions

Technical Requirements:
- Strong communication skills and the ability to connect with people.
- Familiarity with floor plans and basic knowledge of commercial construction.
- Advanced technological skills (smartphones, laptops, tablets used in the daily management of projects).
- Proficiency with Office 365 products (Excel, Word, Outlook, MS Project).
- Problem-solving skills with the ability to handle abstract variables.
Education/Experience
- High School diploma or GED (Required)
- Construction Experience: 1 years (Preferred)
License/Certification Procore certified (or a commitment to be certified within 30 days of hire)
