Executive Assistant to CEO

Location: Alexandria, VA

Schedule:

Typical work week is Monday - Friday, 9am - 5pm. Candidates should have flexibility for an earlier start time on days with important morning meetings.

Position Overview:

Our client is seeking an Executive Assistant with extensive C-Suite level experience to primarily support their CEO.

Responsibilities:

  • Executive Assistant will provide support for the CEO including:
    • Making the travel arrangements for the CEO including travel and hotel
    • Keeping CEO's calendar up to date, coordinating meetings, etc.
  • Executive Assistant will be the primary contact from an administrative standpoint with the Board - (Board has a combination of virtual and in-person board meetings)
    • Executive Assistant will be responsible for collecting materials, sending out materials to Board, coordinating dinners, and providing additional support needed for the board meetings.
  • Executive Assistant will coordinate the travel for Board Members to travel to meet the candidates in person on the day of the in-person meetings.
  • Executive Assistant will book CEO's travel and Board President's travel to conference in Europe
  • Executive Assistant will complete ad hoc administrative tasks, as requested

Requirements:

  • 10+ years Executive Assistant experience - should have previous experience supporting a CEO and Board of Directors
  • Excellent written and verbal communication skills
  • Any previous membership association experience would be a plus - including an understanding of how volunteers are utilized in addition to the board
  • Strong working knowledge of Microsoft Outlook, SharePoint, Word, PowerPoint, and Excel
  • Experienced creating agendas for Board meetings
  • Project Management software of any sort (e.g. Asana or another) is a plus
  • Degree is a plus but not required for candidates with relevant work experience

  • Attentive to detail especially when it comes to calendar management
  • Resourceful, team player
