Job description

Position Responsibilities:
• Provide office administration on site, to include answering phones, escorting authorized visitors, conference room scheduling, HR functions (i.e., Time and Attendance, Org Chart updates, floor plan updates).
• Draft office policies, memorandums, and other official office related internal and external communications.
• Manage the flow of visitors, phone calls, and other interactions with colleagues.
• Provide advanced secretarial, administrative, and project support.
• Collaborate with leadership to de-conflict and maintain the calendar. • Prepare various reports to assist in data analysis for the office including the weekly activity report, week-ahead report, Agendas, and Action Memoranda.
• Perform proofreading and quality assurance checks on written communication, to include formatting and grammar on documents.
• Interpret and evaluate memorandums, documents, and other material prior to the leadership clearance.
• Coordinate events as requested with stakeholders to ensure proper planning of every facet of the event-logistics, catering, transportation, venue identification, guest lists.
• Manage travel arrangements.
• Maintain contacts and distribution lists.
• Perform analysis and drafts issue papers as needed.
• Relay information and coordinate with the Staff and other Executive Assistants of other Directorates, bureaus, and agencies.
• Take, synthesize, and edit meeting notes. Position Requirements: Writing Sample is Required
• One (1) year experience in an administrative support role to Federal contracts.
• Excellent writer with strong analytical comprehension. • Extremely well organized and stays consistently available.
• Detailed-oriented producer who can quickly flag errors and inconsistencies.
• Able to handle direct feedback from supervisors and principals.
• Willing to perform administrative tasks along with sensitive tasks for senior government officials.
• Can capture and summarize meeting notes for various audiences and seniority levels.
• Able to draft professional emails quickly.
• Advanced competence with basic Microsoft Office applications suite.
• Aggressively stays on top of work.
• Fast learner who can determine a course of action from the context of a given communication.
