Job description

Overview Nakupuna Consulting is looking for an Executive Assistant to join our team of talented consultants providing professional services to the Defense POW/MIA Accounting Agency (DPAA) Information Technology Directorate. The Executive Assistant will work directly with DPAA's Chief Information Officer (CIO) to provide oversight, reporting, analytics, and facilitation of DPAA's IT Initiatives. The Executive Assistant will also provide executive level support for DPAA's CIO and Deputy CIO to coordinate administrative activities when needed. The best candidate for this role will be capable of polished, confident, and effective communication with executive level customers, as well as be someone who can self-organize, follow-through, and report on multiple parallel work streams. Responsibilities The following reflects management's definition of essential functions for this job but does not restrict the tasks that may be assigned. Job duties of the Executive Assistant will fall into two main categories as follows: Project Coordination/Analysis: Manage and synchronize project meetings and events across complex calendars and schedules of DPAA and Nakupuna contractor personnel. Recognize the need to resolve conflicts, orchestrate change, and reprioritize as appropriate. Schedule meeting invitations using Outlook Calendar Scheduling Assistant. Coordinate and deconflict calendars across meeting invitees, confirming required attendees are available. Process incoming correspondence, including email and taskers, and route communication to the appropriate individual in the office for response, signature, and action. Process incoming requests and communications requirements to appropriately triage, address, and record internal and external correspondence. Author, review, and edit drafts of notes, internal memoranda, and official correspondence including occasionally leading presentations to communicate project status inside and outside of the directorate. Track and maintain visibility on taskers and open actions based on inputs and guidance from senior staff in the office. Maintain electronic copies, and paper copies in compliance with the customer's records management policy, of office documents such as letters, memoranda, reports, and briefings. Generate responses to internal and external data calls, which involve gathering, analyzing, and preparing data in various formats. Prepare a variety of internal and external documents, reports, correspondence documents, etc. for presentation and/or information to corporate leadership. Independently and proactively obtain and assemble data to transmit information in digestible ways. This candidate will need to have data analytics skills including: Excel: Ability to take raw data source and create a pivot table with intuitive column headers. Excel: Identify and remove duplicate entries from raw data sets. Excel: Sort, filter, and apply conditional formatting to raw data sets to effectively communicate data results. PowerPoint: Create graphs (pie, bar, etc.) for presentation purposes, understanding which graphs are best to use for which data. Executive Support: Manage coordination and planning of daily activities and maintain a professional work environment for DPAA's CIO and DCIO. Proactively manage CIO & DCIO priorities and activities with attention to accuracy, detail, and allocation of time to promote productivity. Receive key visitors DPAA visitors (from other departments and/or agencies) and interact with them through a customer-service, detail-focused, adaptive, and proactive approach in a fast-paced and publicly visible DoD organization. Integrate support activities to ensure DPAA IT leadership is prepared for meetings and engagements on a routine basis and in a timely manner. Support the office's security administration through facilitating security clearances and visit requests for personnel and visitors. Assist government personnel with official travel and logistical arrangements to accomplish mission requirements using the Defense Travel System (DTS) in compliance with the Joint Travel Regulations (JTR). Qualifications Education/Experience: Bachelor's degree in a technical major from an accredited institution as well as a minimum of (2) two years of relevant professional experience. Equivalent years of related work or military experience in lieu of degree will also be considered. Certifications: Required: none Nice to have: Active IAT II Certification (CCNA Security, CSA+, GICSP, GSEC, Security+ CE, SSCP) Data Analytics certification in the areas of Excel or Power BI Clearance: This position requires an active Top-Secret level of security clearance with SCI eligibility. Work Locations: Four days onsite in DPAA's Crystal City offices. Travel to Honolulu, HI or the continental US may be required approximately 1 week per quarter. Physical Requirements: The ideal candidate must at a minimum be able to meet the following physical requirements of the job with or without a reasonable accommodation : Ability to perform repetitive motions with the hands, wrists, and fingers. Ability to engage in and follow audible communications in emergency situations. Ability to sit for prolonged periods at a desk and working on a computer.
