Responsibilities The Executive Staff Assistant will provide direct support to the President, Vice President, and other Senior DSCU leaders. This position is critical to the organization's support needs. What You'll Do: Manages complex calendars, schedules, and meetings for DSCU executive leadership. Responds to scheduling guidance from DSCU executive leadership within 12 hours. Responsible for preparing meeting materials, including read-ahead packets, biographical data on new contacts, and identification and inclusion of meeting participants. Serves as the primary administrative contact and liaison with all university components and external stakeholders regarding DSCU executive leadership. Assesses, reviews, routes, and monitors follow-up steps for front office correspondence. Experience with the Correspondence and Task Management System (CATMS) is a benefit. Provides support drafting, composing, and editing letters, memoranda, reports, lecture/course materials, and presentations. Acts as primary contact with IM&T for hardware and software issues for DSCU executive leadership. Assures uniform application of all administrative and standard operating policies and procedures, coordination of related responsibilities, and resolution of problems encountered in day-to-day operations in support of DSCU executive leadership. Performs administrative functions independently and accurately, including managing office visitors and specific office supplies and providing logistical support for events, meetings, and trips. Ensures records management and document disposition are correct, compliant, and timely. Key Responsibilities: Manages travel for the DSCU executive leadership for various schedules/itineraries, visas/passports, and required clearances. Processes travel vouchers within five days of trip completion, via DTS. Assists DSCU executive leadership with research assistance. Manages package deliveries, mail pick-up, and shipping awards/documents to other campuses. Acts with discretion and maintains professionalism when handling sensitive documents and topics. Must be proficient with Microsoft 365, specifically Outlook, Word, Excel, PowerPoint, and SharePoint. Acts as the primary SharePoint content manager for DSCU executive leadership. Qualifications Minimum Qualifications Education: A minimum bachelor's degree from an accredited institution. Candidate can have 4 years of direct office leading experience in lieu of degree. Experience: Minimum one year of experience in: Leading/managing an office or supporting a senior-level leader. Working independently with the ability to stay motivated and multitask. Work as a team to support the mission of the senior leadership office. Additional experience in the field of security cooperation (SC) is a plus. Other Requirements: Must be able to obtain a Secret Security Clearance U.S. Citizenship status is required as this position will require the ability to access US only data system Desired Qualifications: Experience: Experience with organized processes. Skills & Technology Used Analytical Thinking & Problem Solving: Possesses both analytical and interpersonal skills. Good problem-solving, negotiation, and organizational skills/techniques. Business Partner/Effective Communicator: English language skills to communicate and negotiate with vendors. Strong communicators must be able to communicate clearly both in writing and orally. Ability to lead projects and direct employees. Customer service-oriented, detail-focused, proactive behavior, and multi-tasking capability.
