Overview The incumbent is assigned to the Chief, Logistics Services Division. The incumbent serves as the point of contact for DS inquiries and service-related requests. MAJOR DUTIES AND RESPONSIBILITIES: • Receives visitors and phone calls; accurately determines the nature of the request and refer callers and guests to appropriate staff. Responds to inquiries promptly and courteously by phone and email.
• Document requests in the official work order system. Route work order requests to the appropriate service teams. Track work order requests to completion. • Process passport and visa requests.
• Prepare reports and provide work order status updates as needed.
• Coordinate with service teams and communicate status updates to requestors IAW government-approved Standard Operating Procedures (SOP).
• Work with the Bureau of Administration on telephone requests. PROFESSIONAL QUALIFICATIONS/SKILLS: • Must be a US citizen, and possess at a minimum, a Secret security clearance, with eligibility to obtain and maintain a Top-Secret security clearance. • Must have a High School Diploma or equivalent and at least one (1) year of job-related experience.
• Demonstrated ability to use verbal, written and listening skills to effectively define the customer's issue and interact with program personnel at all levels in a professional, courteous, positive manner.
• Must possess excellent oral and written communication skills necessary.
• Must demonstrate a thorough knowledge of MS Office applications (MS Word, Excel, Teams, PowerPoint).
• Ability to handle multiple tasks simultaneously.
• Knowledge of office policies, practices, and procedures.
• Must be able to work independently with minimum supervision and direction. ADDITIONAL QUALIFYING FACTORS: Must have the ability to obtain and maintain a security clearance. In addition, a satisfactory background screening, negative drug test, positive references and proof of identity and legal authorization to work in the United States and for TTC are required. May require occasional travel.
