Full Job Description: We're looking for an on-site office manager and executive support professional who has excellent organizational and administrative skills with a personable disposition to keep us thriving. The ideal candidate will have a natural flexibility in handling day-to-day routines as well as constant interruptions and surprises. The office manager / executive support will provide strong, reliable support for operations by creating procedures and communicating them companywide, keeping a budget, contributing to employee morale, and by maintaining employee safety. This person will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment. Responsibilities: Manages day-to-day smooth running of a company's Chantilly, VA headquarters office of 100 employees spread across two floors. This position must work on-site, and is expected to be in the office five days a week unless otherwise pre-arranged with management (e.g. PTO, etc.). Welcomes office visitors warmly, professionally, and courteously to cultivate a welcoming atmosphere while confirming scheduled meetings and identification - updates visitor log. Determine nature and purpose of visit and direct individuals to appropriate destinations and help during their visit. Coordinates facility repairs/maintenance in unclassified areas as needed, and communicates progress to all Kudites to ensure everyone is in the know. Oversees and manages office inventory activities, including ordering, requisitions of and inventories of supplies. Stocking of refrigerators, pantries, printer stations and supply closets. Responsible for management and receiving of supplies, goods and services. Uses travel software to book flights, etc. for employees that travel frequently. File expense reports afterwards. Supports Directors and Principal Investigators by handling logistics for programs, meetings and events, including room reservations and configuration, agenda preparation and calendar maintenance, meal ordering, receiving, and clean up. Supports efficient company-wide meetings by organizing spaces and materials, helping the Executive Team develop agenda and content, documenting discussions, and distributing meeting notes. Coordinates and oversees the operations, maintenance, administration, and improvement of properties. Manages all aspects of space/infrastructure planning (e.g. moves, additions, changes to workstations) and provides answers, resources, and solutions when requested. Creates and controls the office budget as it relates to supplies, meals, morale-related events, etc., and ensures the company stays within it. Protect the organization and its employees by keeping information confidential and protecting personally identifiable information. Non-disclosure agreement required. Collaborate with others in Accounting and Finance, IT, Security, and Human Resources. Work cooperatively with all levels of employees, management, and external agencies. Support the Executive staff with content creation for Company All Hands Meeting. Prepare packages for shipment, pickup and courier services for prompt delivery (including computer assets and other valuables). Identifies and recommends changes to existing processes to improve accuracy, efficiency, and quality service. Distributes team-wide announcements, books conference rooms and coordinates catering as needed. Other duties as assigned by the Director, HR, or other senior leadership. Qualifications: Bachelor's degree or years of experience equivalency. Three or more years of experience in office management, executive assistance, or related administrative field. Experience in developing internal systems, and leveraging software to follow processes. Advanced technology skills and experience with online platforms. Ability to work with IT to ensure printers and other office-wide technologies work as intended. Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability. Requires very little hand-holding, takes initiative, and solves problems before they arise. Attention to detail, and well-organized with an ability to handle schedule management. Proficiency with google applications, and aptitude for learning new software and systems. Positive attitude and ability to handle challenging demands. Outstanding communication and documentation skills, especially through digital means.
