Job description

The Proposal Coordinator is a member of the proposal team and supports the preparation and submission of compliant, compelling, and competitive proposals. The Proposal Coordinator supports all stages of the proposal development process, from solicitation release through submission preparation in response to requests for quotes (RFQs), requests for proposals (RFPs), requests for information (RFIs), market research requests, sources sought notices, and other government requests Responsibilities Review RFPs, RFQs, RFIs, and similar documents, including shredding documents, building and managing compliance matrices, and developing draft proposal outlines Support Proposal Managers by assisting with proposal kickoff and debriefing materials, proposal plans, schedules, outlines, and compliance matrices In collaboration with Proposal Managers, gather re-usable content, search databases, and provide relevant resource materials to writers Develops data call requirements for the proposal kickoff package Submit and track the status of data calls and proposal input from team members, partners, and subject matter experts
Manage MS Word templates, styles, formatting, and adhering to proposal requirements when formatting proposal responses
Coordinate the production of draft and final text, tables, call-out boxes, and graphics for proposals by coordinating with writers/graphic designers Follow proposal guidelines and procedures for creating outlines, building templates, preparing review drafts and final editions, scheduling meetings, and tracking the completion of assignments
Under direction, coordinates past performance and resume inputs, with the ability to act as lead for these sections when required
Coordinates distribution of color reviews, sending out instructions in advance of the review period
Works collaboratively with a wide range of personnel, including book bosses, technical and business subject matter experts, authors, capture managers, contracts, and other staff to facilitate efficient and effective proposal development
Works closely with the proposal manager to support color reviews with management and internal subject matter experts, including setting up reviews, sending review invites/notices, and preparing review materials
When necessary, consolidate response documents from multiple authors/reviewers; incorporate review comments into proposal text; edit for content clarity and style
Maintain proposal repositories on SharePoint, updating as directed
Upload all proposal documentation (solicitation documents, submitted proposal volumes, etc.) to SharePoint folders to include amendments
Organize all files and documents related to pursuits, including RFQs, Q&As, proposal attachments, submission files, and more, to ensure accurate and complete archives
Participate in quality assurance checks for consistency and accuracy, delivering final documents within designated timelines
Supports proposal submission, including the formatting and final assembly of proposal volumes Supported Technologies: Microsoft Office Suite, SharePoint, Adobe Pro, PowerPoint, Illustrator, Excel Must have the ability to communicate accurate information Qualifications Required Skills and Qualifications: Minimum of 3-5 years of experience supporting federal proposals Minimum education requirement: Associate's degree
Strong MS Office Suite Skills (Word/Excel/PowerPoint), SharePoint, Adobe Acrobat Extreme attention to detail
3-5 years of experience tracking multiple proposals to ensure timely and accurate submission Ability to manage multiple projects simultaneously while quickly shifting priorities as submission deadlines change
Ability to work independently and effectively under pressure and stringent deadlines
Flexibility to work evenings and weekends as needed during busy periods
Experience working with all levels of management.
Desired Skills and Qualifications: Bachelor's Degree One year of proposal writing or proofreading experience
