Job description

Amentum is seeking a 1st shift Facilities Coordinator in Richmond, VA! Typical work schedule is Monday-Friday, 7:30AM - 4:00PM; hours may vary based on business demand. The Facilities Administrator will be responsible for performing a variety of administrative duties such as: Prepare reports and presentations in Microsoft PowerPoint. Update Excel spreadsheets and Word documents as required. Track and update key performance indicators (KPIs) data. Provide oversight and management of the Amentum Shared Folder on the client's system pertaining to employee training records, workflows, reports, KPIs, etc. Track purchase order spends and follow up with vendors on invoices to be submitted. Process/upload vendor invoices into Amentum's OnPoint system. Verify invoices for accuracy. Submit badge requests, network access, and computer requests through the client's system. Provide Maximo work order and purchase requisition support as needed. Meet and escort vendors when needed throughout the facility. Research maintenance parts and materials to identify best pricing available. Perform other administrative duties as assigned. Essential Functions: Prepare reports and presentations; track key performance indicators. Maintain files according to records management specifications and store and retrieve files as required. Strong skills in Microsoft PowerPoint, Word, and Excel. Ability to learn new software quickly. Excellent oral and written communication skills. Assemble and analyze information, prepare reports, manuals, agendas, correspondence, and memoranda. Adhere to due dates and time schedules. Excellent planning, organizing and time management skills. Excellent interpersonal skills. Complete tasks accurately and on a timely basis. Ability to anticipate and solve problems. Adhere to business code of conduct and other Company policies and protocols. Maintain professional and courteous customer relations with client, vendors, and internal team. Maintain safety work practices as defined by Amentum. Ability to work with minimal supervision or oversight, while still maintaining a high level of quality. Assignments generally involve work of a confidential nature and require knowledge of the practices and procedures of the function, company products, policies, and programs. Other duties as assigned by Management or Supervisor. Minimum Requirements High School diploma or equivalent. Four years of prior administrative experience. Additional Information: Qualified applicants who are offered a position must pass a pre-employment substance abuse test. This position may require a valid Driver's License. This position does not include sponsorship for United States work authorization. This position will require the ability to obtain a security access badge at our client's location. This position may require various shifts, weekends, and alternative work schedules. Physical Requirements: Requires some moving of light to medium weight materials into desks, filing cabinets and other storage locations. Occasional lifting up to 20 pounds. Requires the ability to read and understand information contained in a variety of documents displayed on a computer screen. Requires the ability to use a variety of office equipment and to operate a computer keyboard to access databases, to send/receive messages, and to prepare documents. Requires the ability to attend meetings throughout the site. Requires the ability to communicate with others on the telephone and in one-on-one or group discussions, meetings, and presentations. Requires extended periods of sitting.
Some tasks will require repetitive wrist movement. Special Requirements: Must wear steel-toed safety shoes and other Personal Protective Equipment as needed. Coping with demands (stressors) that are associated with the job and/or the work environment so that acceptable levels of performance and overall contribution are maintained. Requires the ability to interact with all clients in a professional and friendly manner despite periods of stress. Work Environment The employee is occasionally exposed to high precarious places; fumes or airborne particles; toxic or caustic chemicals; extreme heat; risk of electrical shock; risk of radiation; and vibration. The noise level in the work environment is can be loud. Preferred Requirements Advanced secretarial/administrative assistant training preferred. Expert in all software applications used (i.e., Excel, Word, PowerPoint, etc.). Other Attributes: Must be willing to work overtime when required. May be required to work holidays and weekends.
