We are looking for a dynamic Senior Military Education Program Manager/Program Liaison to join our team! This role will support the Office of the Under Secretary of Defense, Force Education & Training (OUSD FE&T) by performing a variety of program management, administrative, and liaison tasks. The candidate will support the Professional Development Office (PDO).

This position is located onsite in Arlington, VA at the Pentagon daily, with some potential hybrid opportunity after an evaluation period.

Responsibilities

Serve as a liaison between multiple departments, guest speakers and their support staff, fellowship program offices, corporate sponsors, and other relevant entities. Ensure accurate information sharing, coordinate talking points for speakers/presenters, and address other related coordination needs

Manage and maintain multiple communication channels, records, and documents. Analyze and identify areas for improvement in internal processes, focusing on efficiency and effectiveness

Execute Issuance publication coordination process for PDO

Provide administrative support for the SecDef Executive Fellows (SDEF) program:

Maintain currency of program contact rosters

Maintain currency of program management rosters

Arrange for Pentagon Building Access for SDEF Fellows and reserve executive conference rooms in the PLCC to support Orientation, Mid-Tour Briefings, and EOY Briefings

Be present for and provide audio/visual and other administrative support as required during the SDEF Pentagon Orientation, mid-tour briefs, and end-of-tour briefings

Update all email correspondence templates and attachments

Coordinate PDO meetings:

Take notes and compile action items for all SDEF key events (Orientation Training, Pentagon Orientation Training, Mid-Tour and EOY Briefings

Prepare feedback templates and correspondence for corporate sponsors and Fellows, track feedback responses, compile feedback responses and craft proposed action items to support program improvement

Prepare certificates of completion for CSBA and Darden Orientation Training and SDEF Completion

Update SDEF Program Files on SharePoint and on the Share Drive

Other administrative and management tasks as required

Provide administrative support for the SecDef Strategic Thinkers Program (STP):

Prepare board convening order (using a template), score sheets, and interview packages needed to convene a DASD-led civilian selection board

Collect biographies and questionnaires from all student nominations (& civilians)

Prepare STP selection package for ASD(R) signature

Prepare correspondence to notify Services they can prepare orders for the selects

Reserve executive conference rooms at the PLCC and provide audio/visual and other administrative support for the STP Orientation

Coordinate/schedule staff leadership and external guest speakers and alumni participation

Maintain student Training/Fitness Reports/evaluation completion rosters

Maintain STP alumni roster with outplacement assignments/projected promotion status

Prepare STP quota letter and coord w/ Service Fellow POCs on how many students they can provide

Other administrative and management tasks as required

Prepare certificates of completion for CSBA and Darden Orientation Training and SDEF Completion

Update SDEF Program Files on SharePoint and on the Share Drive

Provide administrative support for Legislative Fellowships, Fellowships, Scholarships, Internships, Training With Industry, and Grants:

Prepare staff packages for Fellowship nominee approval

Coordinate and prepare annual fellowship reports and staff packages for P&R approval

Maintain a roster of all named fellowships

Prepare ETP packages for approval

Other administrative and management tasks as required

Qualifications

Must have Active Top Secret security clearance or above is required.

Bachelor's degree, Master's degree preferred

Must have a minimum of 8 years of relevant professional work experience within the DoD/Military sector supporting complex programs; experience supporting the Department of Defense (OUSD preferred)

Must have Executive Level writing experience

Must have strong MS Office experience with the ability to create presentations in PowerPoint from concept to completion, including graphics

Experience collaborating with multiple departments, coordination of calendars, meeting preparations, presentation materials, travel arrangements, and all relevant correspondence

Excellent organizational and task management skills

Demonstrated skills to perform all required duties

Highly motivated self-starter with exceptional typing, administrative, organizational and coordination skills

CATHEXIS offers competitive compensation packages to all eligible employees. Our goal is to provide a average market rates, and promotes your financial security and personal well-being. The annual salary range for this role is $130,000 - $200,000. Please note that the salary information provided is a general guideline. CATHEXIS considers various factors in its final offer, including location, qualifications, experience, and skills.
