Donor Services Associate

Work Location:
Madison, WI - National Office

Schedule:
Part time

To advance the purpose of InterVarsity, this position will work on a highly interdependent team environment to administer prompt and accurate processing of donations; providing first-class customer service to our donors and staff.

This is an on-call seasonal position that averages 16-20 hours per week when needed, which includes calendar year-end, fiscal year-end, and fill-in for vacations and leaves.

MAJOR RESPONSIBILITIES

Provide support for Donation Services:

Donation Processes:

  • Open and review mail received; verify correspondence contains the necessary information
  • Prepare and scan checks for deposit
  • Perform data entry of donations into the database
  • Work closely with team members to meet established receipting standards
  • Help with gifts that require additional/special handling
  • Assist team members with their opening/keying tasks as needed
  • Prepare batches for filing
  • Handle donor interactions and processing of wires, IRA, matching gifts, United Way funds, Canadian donations, IFES transfers, IVP Royalties, Board and Volunteer receipts, and foreign funds
  • Process stock and property gifts
  • Prepare corrections (fixes) to donations already processed
  • Maintain portal access (PTRs) for all staff/accounts
  • Print and distribute receipts to donors and various teams
  • Handle all receipts that need additional attention (Specials)
  • Handle donor communication regarding incomplete checks
  • Ensure accurate maintenance of donor names and addresses within the data base
  • Prepare and mail packets for new donors
  • Assist with month-end / year-end processes
  • Keep supplies up-to-date for team
  • Other duties as assigned

Customer Service
  • Provide first-class customer service to our donors and staff
  • Handle all calls to InterVarsity's toll-free line
  • Respond promptly to customer inquiries via email in a courteous and timely manner
  • Complete research to respond to donor questions

QUALIFICATIONS/KNOWLEDGE/SKILLS/ABILITIES
  • 3 years' experience with calculator, data entry, and clerical work
  • Accounting/bookkeeping experience desirable
  • Familiarity with handling financial information
  • Strong customer service skills
  • Comfortable working with web-based systems/tools
  • Annually affirm InterVarsity's Statement of Faith
  • Ability to work in a "team" environment; helping/relying on others, putting others' needs before own needs
  • Ability to cross-train with team members
  • Excellent organizational skills
  • Extra-ordinary attention to detail
  • Moderate knowledge of Excel and Microsoft Word (mail merge)
  • High degree of office administrative skill
  • High reasoning and critical thinking ability, which includes defining problems, drawing valid conclusions
  • Ability to prioritize and manage multiple priorities at a time
  • Ability to be resourceful with limited standard processes
  • Ability to take charge of tasks and work independently at various times
  • Ability to work under the pressure of deadlines
  • Ability to follow written procedures
  • Ability to maintain donor/staff information confidentiality.

Pay Range: $14.55 - $19.40 per hour
