Job Description

The Administrative Assistant will provide timely and effective administrative support to an office, business unit, department or group of professionals within the organization. Perform duties according to the established procedures so these activities are completed accurately and on time.

Duties & Responsibilities

Provide administrative support to the Executive Assistant team with high degree of initiative, confidentiality and professional demeanor.

Prepare expense reports in a timely fashion, with proper receipts and job codes provided

Create travel arrangements for Leadership Team documenting details and updating as necessary

Assist in logistical support for client and team meetings, arranging conference room reservations and cateringEnsure conference room equipment is operating and rooms are setup for meetings; understand how to operate equipment and provide assistance when needed; escalate problems to IT

Assist Agency Operations team with other administrative and logistical events as necessary

Input weekly timesheets as directed

Understand overall agency structure and basic knowledge of Groupe, department, team and clients

Maintain professional and courteous relationships with co-workers, executives, vendors, clients and guests

Continually prioritize tasks and be able to effectively communicate delivery expectations to stakeholders

Reports to Agency Operations with regular interaction with other team members
