Job description

Business Support Specialist This position requires the ability to obtain a Public Trust. The Business Support Specialist will provide comprehensive administrative support, including drafting reports, letters, and other correspondence, attending meetings, taking minutes, and answering phone calls. This position requires a high level of organization, communication skills, and the ability to work both independently and collaboratively to support the day-to-day operations of the office. This role supports the National Defense University. Compensation & Benefits: Estimated Starting Salary Range for Business Support Specialist: $40.00 to $48.00 per hour, additional Health and Welfare Benefits will apply. Pay commensurate with experience. Full time benefits include Medical, Dental, Vision, 401K, and other possible benefits as provided. Benefits are subject to change with or without notice. Business Support Specialist Responsibilities Include: Handle a wide variety of administrative duties, such as preparing official letters, emails, memorandums, reports, forms, manuscripts, speeches, and presentation materials. Receive, screen, and direct phone calls; accurately record messages, schedule appointments, greet visitors, and provide information as needed. Ensure documents are complete, clear, and compliant with administrative procedures and policies before submission or circulation. Attend meetings, conferences, workshops, and symposiums to take notes and prepare minutes. Arrange facilities and track attendance for events. File all correspondence, maintain up-to-date contact lists, rosters, and update bulletin boards by posting/removing outdated materials. Provide friendly and timely responses to inquiries from students and staff regarding system and administrative questions via email, phone, Microsoft Teams, or academic technology (e.g., Blackboard). Prepare, review, and submit travel orders, itineraries, and vouchers using the Defense Travel System (DTS). Arrange travel accommodations and assist with foreign country clearances for staff and faculty. Monitor office supply needs and submit requests for replenishment through the government purchase point of contact. Offer advice on correspondence procedures, administrative reporting requirements, and internal office policies. Assist with procedural and administrative management, including controlling the flow of work within the office, maintaining suspense logs, and ensuring timely follow-up on correspondence. Independently manage projects requiring research and prepare briefing charts or other presentation materials as needed. Performs other job-related duties as assigned Business Support Specialist
Required Experience, Education, Skills, and Abilities: Education: A bachelor's degree is required. Experience: At least three (3) years of experience in an administrative role, preferably in a government or academic setting. Experience with the Defense Travel System (DTS) or similar travel systems. Skills and Ability: Strong organizational, communication, and time-management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Familiarity with administrative procedures and government correspondence. Ability to manage multiple tasks independently and efficiently. Knowledge of office management processes and government administrative policies. Experience with academic technology platforms and managing travel logistics. Other Requirements: Ability to obtain a Public Trust clearance. Must pass pre-employment qualifications for Cherokee Federal.
