Position Summary Credence is seeking a highly-motivated and detail-oriented critical thinker to join our program team, providing assistance for our work serving USAID, located in Washington, DC. As a member of the program team, the Program Support Specialist will assist in the execution of program recruiting, outreach , communications, and DEI efforts, and support monitoring and evaluation activities as needed. The ideal candidate will have an understanding and passion for USAID' s mission, be a quick learner, and an excellent communicator who enjoys working as part of a dynamic team and learning a broad range of professional skills in a fast-paced environment. This position will help the successful candidate develop a familiarity with USAID and the Global Health Bureau, principles of project management and analysis, and fundamentals of working and supporting individuals in an international context. Salary Range The Program Support Specialist will be responsible for working collaboratively with the program team on a variety of tasks and should possess the following skills and qualifications Collaborate with the FSO and Recruitment team to facilitate a seamless onboarding experience for GHTASC new hires by overseeing the security clearance process, communicating contingent and final offer notices, coordinating the distribution of laptops and other necessary equipment, and providing candidates with details regarding their first week to ensure a smooth transition onto GHTASC. Collaborate with Performance Management Advisors and on-site supervisors to ensure proper o n board ing and offboard ing of GHTASC staff and records management. Support outreach, diversity, and inclusion efforts including coordinating to support online and in-person events, social media campaigns, and generating website content; Support monitoring and evaluation activities such as creating and administering surveys, data collection, and data analysis; Coordinate the GHTASC conference room reservations by managing scheduling requests, ensuring availability, and addressing any conflicts or changes on the GHTASC calendar. Contribute to researching, drafting, and revising policies, reports, and guides Maintain the GHTASC Government Furnished Equipment GFE tracker for the annual GFE audit reported to USAID. This includes following up with new hires once USAID has distributed their equipment and coordinating the returns with employees who are leaving the project. Assist with process improvement and change management as the team rolls out new procedures and techniques to improve efficiency and service; Research and synthesize solutions to complex problems, drawing from a variety of sources including US Government regulations, best practices, Agency norms, and experience; Manage the GHTASC admin email inbox, including monitoring incoming emails, prioritizing and responding to inquiries, directing messages to relevant departments, and ensuring all correspondence is handled efficiently and professionally. Maintain and update the GHTASC roster database, including pulling data for reports and data calls, auditing existing information, and adding new data as needed. Assist with producing reports on an ad hoc basis; Other duties as assigned. Responsibilities include, but are not limited to the duties listed below The successful candidate must have a minimum of a Bachelor's degree and 6 + years relevant experience or a Master's degree and 4 + years of relevant experience, which can include internships and unpaid work experience; Ability to successfully manage multiple priorities and multi-task in a dynamic work environment; Interest in learning myriad skills; enthusiasm and motivation to grow quickly in a team; Fundamental understanding of and interest in USAID's mission; experience working with USAID preferred; Excellent attention to detail, and a process minded and critical thinker; Excellent research and analysis skills and written and oral communication skills; Experience in developing reports and presentations; Proficiency in Microsoft (MS) Office suite, including MS Word, Excel and PowerPoint, as well as Adobe Acrobat; Experience in international/multicultural setting preferred; Must be a U.S. Citizen or Legal Permanent Resident authorized to work in the U.S. Competencies / Performance Criterion Innovation: Takes initiative to propose new ideas /approaches and demonstrates ability to find new and better ways to accomplish work Client Service: Communicates with clients, handling any issues politely and efficiently; understands and is available to clients; maintains pleasant and professional image.
