Salary Range: 35,350.43 - $44,241.59

General Description and Classification Standards

Provides varied and advanced level administrative and support services to an assigned department.

Position differs from Administrative Assistant in the degree of independence, level of contacts (frequent, external, high level), and size of office or organization directly managed or impacted.

Supervision Received

Works under very general supervision. May work independently or with other workers with responsibility for completion of assigned tasks.

Essential Duties & Responsibilities These are typical responsibilities for this position and should not be construed as exclusive or all inclusive. May perform other duties as assigned.

Plans and/or coordinates meetings within department or across departments.

Plans and/or coordinates department interviews

Enters and tracks service request and/or work orders for COA departments

Answers calls, responds to general phone, email, or written inquires. Maintains department records and files.

Carries out special projects of an administrative or office operations nature; as needed, serves on interdepartmental teams for process improvement or other tasks. Prepares project status reports for Director to use for decision making purposes. Maintains spreadsheets with project budget data and reports as required. Follows and reports on status of project legislation and Purchase Order requests; maintains Purchase order and legislation logs.

Leadership Provided

Routinely provides work group leadership, guidance, and/or training to less experienced staff.

Knowledge, Skills & Abilities This is a partial listing of necessary knowledge, skills, and abilities required to perform the job successfully. It is not an exhaustive list.

  • Communicating and interacting with supervisors and other staff members
  • Using standard office software, e.g., Word, Excel, PowerPoint, Outlook Calendar
  • Knowledge and use of Work Order Systems - System Administrative capabilities a plus.
  • Using specialized office data systems - laminator, printer
  • Building effective relationships within the organization and with outside contacts.
  • Ability to compile, organize, prepare, and maintain an assortment of records, reports, and information.
