Job description
Duties Serves as the Executive Assistant to the ARO Director, performing duties that provide high-level administrative and operational support that is integral to business operations. Anticipates, plans, organizes, and directs critical actions ensuring appropriate priority, staffing, timeliness, coordination, accuracy, and approval. Works successfully, independently, and efficiently at every level of the internal organization, as well as, with external senior personnel and customers. Skillful in navigating and utilizing collaborative automation tools (MS Teams, ATAAPS, DTS, Financial Disclosure Management program) and a variety of enterprise system services, and assists others. Often, represents the director in day-to-day office business and communications. Exercises primary control over the various organizational calendars for scheduling activities and events. Initiates and reviews correspondence to ensure compliance with established policies and practices; composes communications on a variety of topics such as, standard operating procedures, requests for information, and sensitive matters based on knowledge of policies, precedents, and practices; written and unwritten. Responds to requests for information concerning the organization's functions. Requires mature judgement with high-profile, time-sensitive, and often controversial issues, some of which require confidentiality. Performs other job-related duties, as assigned. The U.S. Army Research Office (ARO) is part of the Laboratory Personnel Demonstration Project (DEMO). The pay band DJ-03 is equal to the former GS-11 step 01 through GS-12 step 10. Requirements Conditions of Employment Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation. Appointment to this position is subject to a three year probationary period. This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Secret security clearance or access for the duration of employment. This position has a Temporary Duty (TDY) or business travel requirement of 10% of the time. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Specialized Experience DJ-0301-03: One year of specialized experience which includes: (1) providing executive level administrative support to an organization for day-to-day operations; (2) reviewing correspondence to ensure compliance with established policies and practices to include format, grammar and punctuation; and (3) scheduling briefings, meetings, conferences and other appointments for an organization. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (DJ-02 or GS-09 or above). OR Education: Ph.D or equivalent doctoral degree or 3 full years of progressively higher level graduate education leading to such a degree in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, such as: Business or Management. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) beyond the second year (total graduate semester hours minus 36) by 18. Add the two percentages.
