Job description

We are seeking a highly organized and skilled Administrative Support Specialist to join our team, providing essential support to work groups within the organization. This role will focus on scheduling and timesheet management, training documentation, calendar support, and meeting coordination. The ideal candidate is detail-oriented, experienced with business software applications, and comfortable working in a fast-paced environment with moderate oversight.

Key Responsibilities

Manage and track employee timesheets using EmpCenter and other scheduling software, ensuring accurate time accounting and adherence to organization policies.

Prepare, organize, and maintain training materials, ensuring documentation is up-to-date and accessible for training sessions.

Support work groups by managing shared calendars, coordinating schedules, and arranging meetings across teams.

Arrange logistics for offsite guests, including setup and coordination, ensuring a seamless experience for external visitors.

Assist with onboarding procedures, including setup for proctoring or sequestering new team members as needed.

Required Qualifications

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with demonstrated experience in preparing correspondence, reports, and other documentation.

Prior experience with scheduling employee time using timesheet accounting software.

Preferred Qualifications

Specific experience with EmpCenter or other total work hour tracking software, particularly within the nuclear industry.

Skills and Competencies

Proficient in managing and organizing schedules, handling calls, and maintaining files and records.

Clear and professional communication skills to handle inquiries, manage correspondence, and support coordination across teams.

Strong attention to detail and accuracy, particularly when managing timesheets, documentation, and scheduling.

Effective in managing multiple tasks, maintaining documentation, and handling calendar coordination with minimal supervision.

Education and Experience

5+ years of administrative experience, ideally within a similar industry or environment.

Experience working in structured processes and procedures with the ability to adapt to established protocols.
