Responsibilities:
Facilitate daily office operations (e.g., scheduling and coordinating meetings, calendar management, and general office logistics).

Provide calendar management for SES level personnel to include setting up MS Teams and government Zoom meetings.

Attend and participate in meetings, take meeting notes, record taskers and actions, and update the staff when necessary.

Route correspondence throughout OUSD(A&S) and OSD.

Assign action tasking in CATMS to the appropriate organization/office/individual. Close out taskings in CATMS and uploaded official documents. Archive CATMS packages as required by regulation.

Coordinate with team members to perform as their backup when required. Provide CATMS training, when requested, to subordinate offices, and individuals.

Review incoming and outgoing correspondence, including presentations, briefings, and reports; check for formatting, proofread, and edit as necessary; prepare documents for signature and ensure proper routing through the staff.

Edit correspondence documents, route documents through tasking system for approval.

Manage, route, and store documents in accordance with OSD records management regulations and procedures.

Update rosters, calendar invites, and address lists, and schedule new employee meet-and-greets with the team's leadership

Manage onboarding of new employees to include military, civilian, and contractors

Gather forms, assist with training, provide information pertaining to creation requests for network access accounts, ensure equipment is issued, and assist with workspace and laptop set-up.

Manage multiple assignments from multiple people in busy work environment.

Qualifications:
Clearance: Active Secret

Minimum of two (2) years of experience to include, personnel, scheduling, task management, planning, programming, and correspondence management within the Department of Defense.

Experience within DoD and other federal agencies.

Must be highly proficient in using Microsoft Office Suite to include Word, Excel, and PowerPoint.

Must have excellent analytical and problem solving skills.

Must have outstanding English writing skills and the ability to quickly deliver quality written products in constrained time periods.

Must have strong active listening skills to assess customer needs and satisfaction.

Must have experience in managing customer expectations and working directly with customers.

Must have outstanding customer service abilities to initiative, judgement, creativity, flexibility, and confidence.

Must have the ability to multi-task across multiple projects.

The following experience is desirable:providing administrative support to DoD Flag officers and/or SES personnel

Bachelor's degree from an accredited college/university is desireable.
