Responsibilities:
The Pentagon Site Lead and Back Up Executive Assistant must be able to exercise informed judgement in a variety of situations, with strong written and verbal communication skills, display the ability to prioritize multiple important tasks simultaneously. The person selected for this role must be able to work independently on assignments and projects, from conception to completion, and work under pressure at times to handle a wide variety of task and confidential matters with discretion.
Duties include:
Completing a broad variety of administrative tasks: composing and preparing correspondence that is sometimes complex and/or confidential; arranging complex and detailed travel plans, itineraries and agendas within budget; and compiling documents for travel-related meetings.
Planning, coordinating and ensuring schedule are followed and respected. Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the General Officer (GO) time and office, if needed.
Communicate directly, and on behalf of the GO, with Directors, Supervisors, Senior Leadership, and others, on matters related to GO's initiatives.
Research, prioritize and follow up on incoming issues and concerns addressed to the GO, including those of a sensitive or confidential nature.
Provide a bridge for smooth communication between the GO and internal directorates by working closely with key personnel to maintain credibility, trust and support with Senior Leadership.
Work closely and effectively with the GO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the GO updated.
Build relationships crucial to the success of the organization, and manage a variety of special projects for the GO, some of which may have an organizational impact.
Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, emails and other tasks that facilitate the GO's ability to effectively lead the workforce.
Prioritize conflicting needs; handle matters expeditiously, proactive, and follow-through on projects to successful completion, often with deadline pressures.
In addition to the above duties of an Executive Assistant, the Pentagon Site Lead will be responsible for the following:
Represent ITility, LLC onsite at the Pentagon by making leadership decisions on behalf of the ITility Program Manager (PM), to include making employee work schedule decisions for all onsite and teleworking employees who support Government programs at the Pentagon
Interface with the Government Team Leads (GTL) and Contracting Officer's Representative (COR), and coordinate with the ITility PM to provide timely responses to requests and questions from the Government client.
Supervise ITility employees at the Pentagon by ensuring all corporate policies are enforced, to include: work attendance at the correct times for each employee; proper professional attire being worn by each employee; employee conduct onsite is held to the highest standards
Ensure employees onsite are performing their work in accordance with ITility's HRMS Performance Work Statement (PWS)
Focus on quality enhancements and improvements for the customer
Monitor teleworking employees and subcontractors (if assigned) to ensure online presence maintained and that GTLs are satisfied with employee telework productivity
Forge a relationship with each Front Office in order to assess customer satisfaction and areas for improvement
Serve as Costpoint Timesheet and PTO approver and ensuring that employees worked the hours they submit
Assist PM with the interviewing, selection, and onboarding of new employees
Other duties assigned by ITility PM, including, but not limited to, assisting members of other PWS Task areas when there are shortages due to resignations or extended absences.
Qualifications:
Basic Qualifications include:
Bachelor degree, and 7 years of experience or an Associates degree in 9 years of experience, or High school diploma and 11 years of experience supporting Senior leaders at the General Officer or Senior Executive Services level.
This position requires an Active Top Secret Clearance with SCI Eligibility.
Demonstrated history of highly effective team leadership and experience managing multiple conflicting schedules.
Exceptionally skilled at juggling multiple tasks, allocating and optimizing resources, and managing time-lines.
Demonstrated ability to interact effectively and appropriately with senior-level government professionals, department heads, committees, volunteers, and other executive staff. Strong interpersonal skills.
Strong working knowledge of MS Office Suite skills, MS Teams, Defense Travel System (DTS) and Task Management System (TMT) and database management experience.
Must be available to work on-site daily at the Pentagon or at Fort Belvoir, VA.
Physical Requirements:
Physically capable of performing tasks that may require sitting, and standing for extended periods.
Must be able to lift 15 - 20 pounds
